Qualifications & Requirements

  • Maintain and manage physical and electronic filing systems, ensuring all documents are properly organized, updated, and easily accessible.
  • Answer incoming calls professionally, identify caller needs, and divert calls to the appropriate department or personnel without delay.
  • Receive, register, and accurately convey messages to relevant departments or individuals in a timely manner, ensuring no delays or loss of information.
  • Coordinate and follow up with various departments to facilitate smooth communication and workflow.
  • Monitor office supply usage, maintain accurate records, and ensure timely replenishment of stationery and office consumables to avoid shortages.
  • Liaise with suppliers when required and follow up on office supply orders.
  • Handle sensitive information with confidentiality and discretion.
  • Demonstrate the ability to handle situations calmly, professionally, and efficiently, using sound judgment at all times.
  • Take ownership of tasks and go beyond routine duties when necessary to support office operations.
  • Show a high level of responsibility, reliability, and concern for work quality and organizational needs.
  • Provide general administrative and office support as assigned.

Additional Information

Qualifications & Skills

  • Previous experience in a similar secretarial or administrative role is an advantage.
  • Excellent communication and organizational skills.
  • Proficiency in MS Office applications (Word, Excel, Outlook).
